how we handle your information

1. Who we are.

Waggle Dance Ltd (Company No. 16079239, VAT No. 480372785), registered in England & Wales, is the data controller for personal information collected through our websites, landing pages, booking forms and services. Contact: [email protected].

2. What we collect.

What you give us: when you book a call, buy a service or fill in a form — your name, email address, phone number, company name, and your answers to our questions. What our systems record: emails opened and links clicked in messages we send you, call and appointment records, and standard technical data such as pages visited. What we don’t hold: your full card details — payments are processed by our payment provider, and card data goes to them, not us.

3. Where your details came from.

If we’ve written to you without you filling in one of our forms, it’s because your business details were publicly available — most commonly because you appeared as a guest on a business podcast, or we met you at a networking event. We contact business owners about business services on the lawful basis of legitimate interest, and every email we send includes a straightforward way to say “stop” — a reply does it.

4. Why we use it.

To provide what you’ve booked or bought (contract); to run, secure and improve our services (legitimate interest); to send relevant business correspondence to business contacts (legitimate interest); and, where we ask for it, with your consent. We don’t sell personal data, and we don’t use your customer lists for our own marketing — ever.

5. Who we share it with.

Only the processors that make the service work: our CRM and communications platform, our payment provider, our scheduling and video-call tools, and our accountants where the law requires. Each processes data under contract, and none may use it for their own purposes. Some providers process data outside the UK; where they do, recognised safeguards (such as adequacy decisions or standard contractual clauses) apply.

6. How long we keep it.

Client records: for the relationship plus six years (tax and legal obligations). Prospect records: while our correspondence is live and for a reasonable period after, unless you ask us to stop or delete sooner — in which case we do.

7. Your rights.

You can ask for a copy of your data, correction of it, deletion of it, restriction of how we use it, or object to our use of it — email [email protected] and we’ll act promptly, and always within a month. If you’re unhappy with how we’ve handled something, you can complain to the Information Commissioner’s Office at ico.org.uk — though we’d appreciate the chance to fix it first.

8. Cookies & tracking.

Our pages use the minimum necessary for them to function, plus standard analytics on our platform. Emails we send include open and click tracking so we know what’s useful and what isn’t.

9. Changes.

If this policy changes materially, the date at the top changes with it, and existing clients get told directly rather than being left to notice.
